Scheduling & Gantt

Create visual project schedules with Gantt charts and task management.

Gantt Chart Overview

The Gantt chart provides a visual timeline of your project, showing all tasks, their durations, and how they relate to each other.

Access the Gantt chart from any project by clicking the Schedule tab.

Creating Tasks

Tasks represent individual pieces of work on your project. Each task has a name, start date, duration, and can be assigned to team members or subcontractors.

  1. Click Add Task or click directly on the chart
  2. Enter the task name
  3. Set the start date and duration (in days)
  4. Optionally assign a category or trade
  5. Click Save

Tip: You can drag tasks on the Gantt chart to change their dates, or drag the edges to adjust duration.

Task Dependencies

Dependencies link tasks together so that one task must complete before another can start. This helps you create realistic schedules.

Dependency Types
Finish-to-Start
B starts when A finishes
Start-to-Start
B starts when A starts

To create a dependency:

  1. Click on a task to select it
  2. Drag from the task's connector (right edge) to another task
  3. Or edit the task and select dependencies from the dropdown

Assigning Resources

Assign team members or subcontractors to tasks to track who's responsible for what work.

  • Team Members – Employees from your business
  • Subcontractors – External subbies from your database

When you assign a subcontractor, you can send them a job offer directly from the task.

Resource Calendar: BuildLedger tracks availability. If a subbie is already booked on those dates, you'll see a warning.

Milestones

Milestones are zero-duration tasks that mark important project events or deadlines.

Common Milestones
🔶 Project Start 1 Feb 2024
🔶 Frame Inspection 28 Feb 2024
🔶 Lock-up Stage 15 Mar 2024
🔶 Practical Completion 30 Apr 2024

Milestones are often tied to payment claims. You can link a milestone to a client invoice so you know when to bill.

Sharing the Schedule

Share your project schedule with clients and subcontractors:

Client Portal

If you've enabled schedule sharing in the client portal settings, clients can view a simplified version of the Gantt chart showing key milestones and progress.

PDF Export

Export the schedule as a PDF to share via email or print for site meetings.

  1. Go to the Schedule tab
  2. Click ExportPDF
  3. Choose date range and detail level
  4. Download the PDF

Calendar Sync

Subscribe to your project schedule in Google Calendar or Outlook. Tasks appear as calendar events with automatic updates.
